Voice Mail Instructions (Students)


Voice Mail is a service that lets you receive voice messages when your line is busy or you are away from your room. UCit offers Voice Mail with Individual Message Boxes (limit 4 per room) and/or Call Waiting/Last Number Redial.

      SETTING UP YOUR MAIN MAILBOX

      To set up your Main Mailbox for the first time, lift your handset and dial *5. You will hear one ring and then you will be asked to dial your password and PRESS #. Your telephone number, 6-XXXX, is your first password. You will then listen to a welcome message and a brief message about how Voice Mail works.

      After the welcome, you will be instructed to change your password (which must be 4-8 digits long). Your recorded name is what people will hear when your line is busy, you don't answer, or another Voice Mail user is addressing a message to you. Voice Mail also plays your recorded name as part of the greeting provided by the system if you have not yet recorded a Regular Greeting.

      SETTING UP YOUR GREETING

      You can personalize your mailbox with a greeting in your own voice. There are two different greetings callers can hear when they call you: a Regular Greeting or a Standard Greeting.

      Your Regular Greeting is a greeting you recorded. If you have not recorded a Regular Greeting, the caller will hear the Standard Greeting "[Your recorded name] is not available. Please leave a message at the tone." If you have not yet recorded your name, the Standard Greeting plays your extension number and then says, "is not available."

      To add or change your greeting if you have Student Basic or Student Plus, dial *5, enter password and PRESS #. PRESS 8 for feature options, then PRESS 2 to record a new greeting (hear current greeting). PRESS 5 to record a greeting, and begin speaking after the tone. PRESS # to stop recording. You will hear your new greeting. PRESS # to accept or * to cancel and record again.

      To add or change your greeting if you have Grad Student Plus, dial *5, enter password and PRESS #. PRESS 4, then PRESS 2 to record a new greeting (hear current greeting). PRESS 1, then PRESS 5 to record a greeting, and begin speaking after the tone. PRESS # to stop recording. You will hear your new greeting. PRESS # to accept or * to cancel and record again.

      ACCESSING YOUR MESSAGES
      WHEN AWAY FROM YOUR PHONE

      You can access your voice mailbox from your own or any on-campus phone by dialing *5 or from any off-campus touch tone phone by dialing 556-6245 (556-MAIL). You will hear one ring and then you will be prompted to enter your password followed by #, and your mailbox number followed by #. Your mailbox number is the last 5 digits of your phone number (6-XXXX). You will then be in your mailbox at the main menu and can enter your selection: PRESS 1 to listen to your messages. If you forget the access number, you can call your own telephone number. As soon as your greeting plays, PRESS 0 and Voice Mail will prompt you to enter your password followed by #.

      MESSAGE INDICATORS

      If you are using a UC phone, the orange lamp in the middle of your phone will pulse if you have a message; in addition, when you lift your handset, you will hear "Voice Message." After you have listened and responded to your new messages, the red light will go out. If you are using a non-UC phone, when you lift your handset, you will hear "Voice Message" when you have a message.

      MESSAGE BOX FULL

      If you have Student Basic or Student Plus your mailbox will hold 10 messages. If you have Grad Student Plus your mailbox will hold 25 messages. After you have reached your limit, anyone trying to leave a message will be informed that your mailbox is full and they will be disconnected.

      WAKE UP CALL -
      STUDENT BASIC
      AND STUDENT PLUS ONLY

      You can instruct Voice Mail to call you with a Wake Up Call. This feature is only available in the Main Mailbox and not in the Individual Boxes. At the main menu of the Main Mailbox PRESS 2 to set a Wake Up Call; to choose weekday wake up, PRESS 1 or to choose weekend wake up, PRESS 2. Dial a 3 or 4 digit wake up time and PRESS #.

      To cancel a Wake Up Call, at the main menu of the Main Mailbox PRESS 2 (to set a Wake Up Call). To choose weekday wake up, PRESS 1, or to choose weekend wake up, PRESS 2. You will hear, "Weekday/weekend wake up service is currently set for ... To set your weekday/weekend wake up service for the morning, or a.m., PRESS 1; to set it on or after 12 noon, or p.m., PRESS 2. To cancel your weekday/weekend wake up service, PRESS 3". PRESS 3 and you will here, "Weekday/weekend wake up service has been cancelled."

      CALL WAITING

      Call Waiting places a caller on hold while you answer a second incoming call. When you hear the Call Waiting tone, depress the cradle button for approximately 2 seconds. When you hear the message "Enter" then dial *4. Hold down the cradle button until the phone rings. Pick up the phone and the 2nd party is on the line. After completing the call with the 2nd party, depress the cradle button. When you hear the message, "Enter", then dial *4 and the 1st party will be on the line. To alternate between calls, depress the cradle button. When you hear the message, "Enter", then dial *4.

      LAST NUMBER REDIAL
      (To redial the last off-campus call)

      Lift the handset and dial #9 - the system redials your last off-campus call.

      CALL FORWARDING -
      GRAD STUDENT PLUS ONLY

      (To forward your calls to another on-campus telephone)

      To activate, lift the handset and dial *3. When you hear the tone, dial the 6-XXXX or the 8-XXXX number where the calls are to be forwarded, then you hear the tone again and your calls are forwarded. Hang up. (Note: a short ring will sound while Call Forwarding is activated to alert you that the feature is on).

      To cancel, lift the handset and dial #3. When you hear the tone, call forwarding is cancelled. Hang up.

      FORWARDING MESSAGES -
      GRAD STUDENT PLUS ONLY

      (To copy a message to another on-campus mailbox)

      After listening to your message, PRESS 0 to hear more options. PRESS 5 to send a copy. Dial the mailbox number to which you want to copy the message and PRESS #. PRESS 5 and begin recording your introductory remarks. PRESS # when finished recording. PRESS # to send. The original message remains in your mailbox.

      TO ADD AN INDIVIDUAL MESSAGE BOX
      TO THE MAIN MAILBOX

      A maximum of 4 Individual Messages Boxes may be added to the Main Mailbox. To add a message box, log into the Main Mailbox with the Main Mailbox password and PRESS #. At the Main Menu PRESS 8 to change feature options, PRESS 3 to add or remove an Individual Message Box, PRESS 1 to add an Individual Message Box. Voice Mail will tell you the next available Individual Message Box Number. Dial a password (4-8 digits) and PRESS # to accept or PRESS * to cancel and re-enter. PRESS 5 to record the name of the message box owner after the tone. PRESS # when you finish recording. PRESS # to accept or PRESS * to cancel and re-enter.

      ADDITIONAL INFORMATION

      • Your Main Mailbox and Individual Message Box number is always your 6-XXXX telephone number.
      • To change the password of an Individual Message Box you must delete and recreate the box from the Main Mailbox. The password is set while adding the box and it will remain the password unless the box is deleted and then added again.
      • The greeting in your Main Mailbox should let callers know they can leave a message for a particular roommate by pressing the individual message box number immediately after the greeting. A typical greeting might say, "You have reached Jane, Susan and Jenny's room. Please PRESS 1 to leave a message for Jane, 2 to leave a message for Susan, or 3 to leave a message for Jenny."
      • All roommates need to know the password to the Main Mailbox that connects to the Individual Message Boxes; however the password to the Individual Message Box should not be shared.
