How does E-mail Plus work?

UCit has acquired and installed an application called Livelink ECM - E-mail Archiving Service for Microsoft Exchange. This application moves e-mail messages off the e-mail system to the storage area network (SAN). This reduces the size of the mailbox stores on the Exchange server so that they run more efficiently. Smaller mail stores provide faster backup and recovery times and they are less prone to corruption.
The basic e-mail information such as the subject, from, and the date received field remains in your mailbox so you can search the subject lines, move it to a folder and retrieve it when you want to view the e-mail. When you want to view the e-mail, you double click on it in order to open it up. It will take a few seconds longer to open the e-mail since the Exchange server requests retrieval from the Livelink ECM service.
When a user subscribes to the E-mail Plus service, you select one of three options as to how the system will work with your e-mail messages:
- 14 days old: The system will archive e-mails over 14 days old every night.
- High-Low watermark: The system will archive all e-mails in the mailbox if the mailbox is more than 50 MB full. It will archive e-mails, beginning with the oldest, until the mailbox is below 30 MB in size.
- Archived folder/user initiated: You create a folder called “Archived” in your mailbox (same level as the in box). You would manually move e-mails you want to save to this folder and the system will archive them.
If you have a mobile device that uses ActiveSync to sync with your mailbox, you must use option 3.
At this point, there are no storage limitations with the E-Mail Plus system.
Requirements of E-mail Plus
In order to use the E-mail plus option, you must:
- Use a UCit Exchange mailbox
- Use the Outlook client
- Retain e-mail on the server, that is, you are not utilizing POP3 or IMAP protocol. You also must not have your e-mail retrieved directly into .pst or personal folders.
