UCMAIL (Exchange)

  • Employee Status Account Review and Removal

    Automated Employee Status Audit procedures have been implemented to review all accounts on Exchange and verify the employees' status. Users who are not active employees at the University of Cincinnati are not eligible for Exchange accounts under the Microsoft License Agreement. The Employee Status audit procedures run daily) and will automatically disable user accounts that are not flagged as (belonging to) active employees. Disabled accounts are permanently deleted from Exchange at the end of each month.


    A user entering inactive employee status and desirous of retaining an e-mail account must be sponsored and the account paid for by a university college or department. Sponsorship instructions are defined in Account Activation (Affiliate) information. Users may contact the Help Desk at 556-HELP (4357) for additional information.


    Emeriti are entitled to e-mail accounts and are included in the University of Cincinnati's Microsoft License agreement.
  • Affiliate accounts

    Affiliate accounts are removed at the request of their sponsors.

EMAIL (Bearcat Online)

Account Review and Removal

On a quarterly basis, Bearcat Online accounts are examined for deactivation. If a student has not registered for courses for any of the last four quarters or a faculty member has not taught a class for two years, a memo is sent to the user that the account is on the purge list. A web link is provided where the user can request keeping an account active. In most cases, these requests are granted.

If a student account is removed, it will be recreated once calss registration has taken place. It will use the same userid and the default password.

Once accounts are removed, we are unable to retrieve the data as outlined in our Bearcat Online back-up policy.
